Why I Built This

A personal story about solving my own problems

Three years ago, I was juggling Todoist for tasks, Toggl for time tracking, and a separate Pomodoro timer. The constant switching between apps was breaking my flow. I needed a task manager that could handle infinitely nested subtasks—the kind of deep breakdown that complex projects require. Most apps either limited nesting depth or made it clunky to work with.

I also wanted automatic time tracking like Toggl, but integrated directly with my tasks. Not a separate timer app, but something that understood my workflow: estimate how many Pomodoros a task needs, track actual time spent automatically, and see the difference between planned and reality—all without leaving my task list.

How I Use PomofyTasks

My personal workflow after 3+ years of daily use

Morning Planning

Every morning, I start by reviewing my My Day view. I add 3-5 tasks I want to accomplish today, making sure each has a realistic Pomodoro estimate.

I use the Calendar to drag tasks into time slots. This helps me see if I'm being realistic—if I've scheduled 12 Pomodoros but can only do 6-8 in a day, I know to adjust.

Deep Work Sessions

When I'm ready to work, I pick a task from My Day and start a Pomodoro timer. The timer is right there in the interface—no switching apps. I focus for 25 minutes, then take a 5-minute break.

After each Pomodoro, I see my progress: "2/4 Pomodoros completed" on the task. This visual feedback keeps me motivated and helps me understand if my estimates were accurate.

Breaking Down Complex Projects

For big projects, I use infinitely nested subtasks. For example, "Launch New Feature" might break down like this:

Each level can have its own Pomodoro estimate. When I complete "Add Validation", it automatically updates the parent task's progress. This gives me a clear view of where I am in the project and what lies ahead.

Weekly Review

Every week, I review my Pomodoro estimates vs. actuals. If I consistently underestimate certain types of tasks, I adjust my future estimates. This has made me much better at planning.

I also use the Calendar view to see patterns: which days I'm most productive, how many Pomodoros I actually complete per day, and where I tend to overcommit.

Quick Capture

When something pops into my head, I quickly add it to Inbox. Later, I organize these into projects or add them to My Day if it is one off small task which doesn't require a lot of time. This keeps my mind clear and ensures nothing gets forgotten.

The key is not overthinking it—just capture it quickly, then organize when you have time. The nested structure means I can always break things down later if needed.

What is Pomodoro estimation and tracking?

Each task can have an estimated number of Pomodoros (25-minute focused work sessions). As you work, you track actual Pomodoros completed. This helps you understand how long tasks really take versus your estimates, improving your planning over time.

How does the Pomodoro timer work?

Start a Pomodoro session directly from any task. The timer runs for 25 minutes (focus), with options for short breaks (5 minutes) or long breaks (15 minutes). You can pause and resume sessions, and all time is automatically tracked against the task.

Can I schedule tasks on a calendar?

Yes! You can drag and drop tasks with Pomodoro estimates onto the calendar. This helps you visualize your daily capacity and plan your week realistically based on how many Pomodoros you can actually complete.

What are Projects, My Day, and Inbox?

Projects: Organize related tasks into projects with custom colors. Perfect for work projects, personal goals, or any category.

My Day: A focused view of tasks you want to accomplish today. Add tasks here to keep your daily goals clear.

Inbox: A catch-all for tasks that don't belong to a project yet. Quick capture, organize later.

Is my data private and secure?

Yes. Your data is stored securely and is only accessible to you. We don't share your data with third parties, and since this is used by me daily and not a business, we have no incentive to monetize your information. Despite this, this app has probably better security than most other apps out there. Data is encrypted at rest and in transit. Everything is almost fully automated and production access to DB is limited only to app backend server and hosted DB and not exposed to internet or any other network other than the AWS VPC where it is hosted. I track the DB size and the number of users and query execution stats in monitoring dashboard to understand whether or not I need to scale the DB. We also have a strict no-logging policy for user data.

Will this always be free?

Yes, absolutely. I built this for my own use and have been using it daily for 3+ years and only UI has been slightly updated for publishing to public. As long as I'm using it myself, it will remain completely free with no ads. There are no premium tiers or hidden costs. Limits for the sake of preventing abuse by bots are also pretty generous and practically can never limit any user.

Can I use this on mobile?

The web app is fully responsive and works great on mobile browsers. Most mobile browsers allow you to install web apps to home screen. You can use it on any device with a modern web browser. There is no mobile app yet as I never needed one, but if there is a demand, I will consider building one. Provide feedback here
